If you need an  URGENT APPOINTMENT  give us call, please discuss your situation with our receptionists, we will do our best to fit you in with your usual doctor.

A standard consultation usually lasts 10-13 minutes, this allows time for the doctor to complete what is required prior to calling in their next patient. We rely on you to help ensure the doctor keeps to schedule.

If you have more than one issue, or a complex medical problem that requires a LONGER APPOINTMENT, please let reception know at time of booking. Examples of appointments that require a longer consultation are; more than one issue, skin checks, skin excisions, travel, pregnancy care, complex medical problems, driver’s medicals, mental health/stress, complete well women’s and men’s health checks and Workcover or other insurance matters.

Please note that skin checks, driver’s licence medicals and travel consultations require their own appointments, we cannot provide the information and care you deserve when these are booked as a single appointment with other issues.

Please note that procedures will only be completed if a consultation has occurred with the treating doctor. No procedure including implant of uterine or arm long-acting hormonal contraception or skin excisions will be booked without prior consultation with the treating doctor.

 

CANCELLATION POLICY

Please note that a fee of $50 will apply if you fail to attend your appointment without adequate cancellation,
and no further appointments with Wellbeing Medical Centre can be made until this fee is paid.

Our staff needs time to identify those in need of our appointment slots, and to contact those patients who are on the waiting list in order to plan their attendance.

Wellbeing Medical Centre is a family-friendly clinic for patients and staff. Our doctors have a limited amount of time slots and a non-attended appointment is never recoverable.

 

"Billing policy"

At Wellbeing Medical Centre, we offer both Bulk and Mixed billing. Weekday standard consultations are complimentary for Medicare cardholders. Our dedicated GPs are committed to ensuring that vulnerable groups consistently receive high-quality care.

Notice of Policy Amendment: Returning After One Year - Updated Patient Classification and Fee

"We would like to inform you of a recent adjustment to our policy. If, within a period exceeding one year, you have not personally visited the medical center, upon your return, you will be treated as a new patient. Additionally, a $58 registration fee will be applicable for durations surpassing one year. We appreciate your understanding and cooperation with these changes."

"New patient policy"

We cordially invite you to arrive approximately 10 minutes prior to your scheduled appointment time for your initial visit. This will afford you ample opportunity to complete the necessary new patient documentation in a relaxed manner. Please ensure you bring your Medicare card and any relevant concession cards to facilitate this process.

"Important Notice: Eligibility Criteria for Bulk Billing and Telehealth Services"

"Please take note: If you have a concession card or are under 16 years old, you are automatically eligible for Bulk Billing at our clinic. This benefit applies to our services, both in-clinic and telehealth, ensuring accessible healthcare for those who qualify. We are dedicated to providing excellent care and appreciate your attention to our billing policies.

Furthermore, patients who have not attended an in-person visit to our clinic within the past year are NOT eligible for Medicare benefits associated with Telehealth services. We emphasize the importance of regular in-person visits to maintain the quality and continuity of healthcare.

"Initial Consultation Fee for New Patients"

We respectfully inform all new patients that there will be a charge of $58 for your first visit. This fee is important for us to maintain the highest quality of care from the start of your treatment with us.

"Exemption for Newborn Babies"

We are pleased to extend a special exemption for newborn babies. The initial registration fee will be waived for your newborn's first appointment, as part of our dedication to supporting families during this joyous yet challenging time.

We have setup the EFTPOS capability to ensure patients are able to claim their Medicare rebate at the time of paying their consultation Fees, so the relevant Medicare rebate(s) are deposited back into the patient’s bank account on the spot.

Some medicals and visits are not all covered by Medicare, e.g., CTP, Commercial driver health assessment, long consultation, cervical screening etc. If you have any queries, please ask reception when making the appointment. Payment is required for additional services at the time of consultation, EFTPOS facilities are available at all our practices.

Wheelchair access is available from the outside parking areas. Should you have any special needs, please discuss this with our friendly staff.

We encourage all patients to make an appointment for results.

 

Any patient with any abnormal results will be recalled to the practice to discuss results with the doctor.

 

No results will be given over the phone.

Our practice is committed to preventative care. We may send you a reminder notice offering you preventative health services appropriate to your care. If you do not wish to be part of this system, please let our receptionist know.

At Wellbeing Medical Centre, we value patient feedback and work together as a team to ensure we respond to feedback to improve our services. In July 2021, Wellbeing Medical Centre participated in Insync Patient Survey and below are the improvements that we brought up afterwards:

Waiting Times

  • All patients are informed of any expected wait times when they are checking in
  • If the wait is unusually long, we try to contact the patient to advise of this

On day appointments

  • At busy times, appointments are allocated as “on the day bookings” so that we are able to take walk in patients and emergencies

Team work

  • All Wellbeing Medical team members are informed about the results and work hard to adhere to our communication procedure

Our practice only sends SMS’ for recall purposes and appointment reminders. No personal details will be disclosed via SMS. Emails are only used for non-confidential correspondence, not for appointment requests or cancellations. For urgent matters, please call the practice.

Introduction

This privacy policy is to provide information to you, our patient, on how your personal information (which includes your health information) is collected and used within our practice, and the circumstances in which we may share it with third parties.

Why and when your consent is necessary

When you register as a patient of our practice, you provide consent for our GPs and practice staff to access and use your personal information so they can provide you with the best possible healthcare. Only staff who need to see your personal information will have access to it. If we need to use your information for anything else, we will seek additional consent from you to do this.

Why do we collect, use, hold and share your personal information?

Our practice will need to collect your personal information to provide healthcare services to you. Our main purpose for collecting, using, holding and sharing your personal information is to manage your health. We also use it for directly related business activities, such as financial claims and payments, practice audits and accreditation, and business processes (eg staff training).

What personal information do we collect?

The information we will collect about you includes your:

names, date of birth, addresses, contact details, medical information including medical history, medications, allergies, adverse events, immunisations, social history, family history and risk factors, Medicare number (where available) for identification and claiming purposes, healthcare identifiers and health fund details.

Dealing with us anonymously

You have the right to deal with us anonymously or under a pseudonym unless it is impracticable for us to do so or unless we are required or authorised by law to only deal with identified individuals.

How do we collect your personal information?

Our practice may collect your personal information in several different ways:

When you make your first appointment our practice staff will collect your personal and demographic information via your registration.

During the course of providing medical services, we may collect further personal information. Information can also be collected through electronic transfer of prescriptions (Etp), My Health Record, eg via Shared Health Summary, Event Summary. We may also collect your personal information when you visit our website, send us an email or SMS, telephone us, make an online appointment or communicate with us using social media.

In some circumstances personal information may also be collected from other sources. Often this is because it is not practical or reasonable to collect it from you directly. This may include information from:

  • your guardian or responsible person
  • other involved healthcare providers, such as specialists, allied health professionals, hospital, community health services and pathology and diagnostic imaging services
  • your health fund, Medicare, or the Department of Veterans’ Affairs (as necessary)

When, why and with whom do we share your personal information?

We sometimes share your personal information:

  • with third parties who work with our practice for business purposes, such as accreditation agencies or information technology providers – these third parties are required to comply with APPs and this policy
  • with other healthcare providers
  • when it is required or authorised by law (eg court subpoenas)
  • when it is necessary to lessen or prevent a serious threat to a patient’s life, health or safety, or it is impractical to obtain the patient’s consent
  • to assist in locating a missing person
  • to establish, exercise or defend an equitable claim
  • for the purpose of confidential dispute resolution process
  • when there is a statutory requirement to share certain personal information (eg some disease require mandatory notification)
  • during the course of providing medical services, through eTP, My Health Record eg via Shared Health Summary)

Only people who need to access your information will be able to do so. Other than in the course of providing medical services or as otherwise described in this policy, our practice will not share personal information with any third party without your consent.

We will not share your personal information with anyone outside Australia (unless under exceptional circumstances that are permitted by law) without your consent.

Our practice will not use your personal information for marketing any of our goods or services directly to you without your express consent. If you do consent, you may opt out of direct marketing at any time by notifying our practice in writing.

How can you access and correct your personal information at our practice?

You have the right to request access to, and correction of, your personal information.

Our practice acknowledges patients may request access to their medical records. We require you to put this request in writing by using our Practice request for records form and our practice will respond within 30 days. There will be fees charged for copies of medical records which will be discussed at the time of the request.

Our practice will take reasonable steps to correct your personal information where the information is not accurate or up to date. From time to time, we will ask you to verify that your personal information held by our practice is correct and current. You may also request that we correct or update your information, and you should make such requests in writing to the Practice Manager. Please call 07 5528 0037 for more details.

How can you lodge a privacy-related complaint, and how will the complaint be handled at our practice?

We take complaints and concerns regarding privacy seriously. You should express any privacy concerns you may have in writing. We will then attempt to resolve it in accordance with our resolution procedure.
